In an effort to streamline the process for booking recordings, Ivey IT has introduced a new web form to be used for classroom and event recordings. This form must be used for requesting any recordings through Classroom Technology Services. The form can be found here:
In order to submit a request, the form will have to be filled out with the following information:
- The requester’s name.
- The requester’s email address.
- The date of the recording.
- The start and end time for the recording.
- The room number.
- The faculty or staff member that it’s for.
- The camera type (typically rear or front camera).
- The recording type.
Once we’ve added the recording to our schedule, a confirmation email will be sent out to the requester that it has been added.
Please note that CTS requires a minimum of 24 hours notice in order to properly schedule recordings and to ensure there is staff available to enter the recording information into our systems to verify the recording is scheduled and the systems are working properly.
As has been the case for the last several years, recordings are available online and stored securely on Ivey’s servers, accessible anytime and anywhere with your Ivey login.
With your web browser, on nearly any device, you can navigate to http://go.ivey.ca/facultyvideos and find your recordings. You’ll be asked to log in; please input your Ivey username and password. A folder will appear on the left hand side with your name on it. Select the folder and a new page will appear with all of your recordings. By pressing play on the individual recordings, the video will begin streaming. (Similar to services like Netflix and Amazon Prime Video)
This service completely replaced the DVD copy of the recording, and as such, there will not be any DVD copies made of recordings through CTS.
However, all of your personal recordings can be downloaded and backed up to your own personal device(s). To download your recordings for your own personal use, not on Ivey’s servers:
Navigate to http://go.ivey.ca/facultyvideos.
- Log in and select your folder.
- Find the presentation you would like to download.
- Press the Download button, between the Info and Watch buttons, below the presentation name.
- See the FacultyVideos Download Button attachment.
- A small dialogue will drop down, press Publish To Go.
- The page will inform you that the Publish to Go package (P2G) hasn’t been created, press Submit to create the package.
- Wait. The process can take anywhere from a few minutes to an hour, depending on the server load.
- Once the process has completed, press the Download button in the dialogue box.
The P2G file is a standard ZIP file that contains Ivey’s Mediasite player (that resembles the online video player) and an MP4 file. On a Mac, downloaded with Safari, this will have automatically unzipped and you will see the folder, not the ZIP file. On Windows, or with any other browser, you’ll find a ZIP file. Unzip this file to get to the folder.
There are two ways to play your presentation. One requires Silverlight to be installed and the other requires VLC (or a similar MP4 capable media player).
Ivey Media Player (Silverlight Required*):
- Open the newly downloaded (and extracted) folder.
- See the Folder File Structure attachment.
- Double click Default.html – a web browser page will open and your presentation will begin playing**.
*Download and install Silverlight if you do not already have it: https://www.microsoft.com/silverlight/
**You’ll know you don’t have Silverlight installed if you receive an error that Silverlight is not installed.
MP4 Video File:
- Open the newly downloaded (and extracted) folder.
- Double click the Content folder.
- The content folder contains all media files that were captured in the recording.
- There will be an MP4 file, the largest file in the folder (if you sort by size), typically named something along the lines of: be795535-0f93-432b-9c02-9ee4d7f3fbd1.mp4
- Rename the file to something you will remember.
Should you have any difficulties, don’t hesitate to stop by CTS for a quick hands-on tutorial. We would be happy to run through it with you.
